Did you know that invoice errors can delay the services you rely on? When invoices aren’t submitted correctly, it can slow down payments and disrupt your supports.
Here’s what needs to be in place to help keep things running smoothly.
1. Include All the Required Information
NDIS invoices should include:
Name and ABN of the service provider
Invoice number and date
Full name and NDIS number of the participant
Description of the service (include support item codes if available)
Date of service
Quantity of services delivered
Rate and total cost
Bank details and payment terms
Missing or incorrect details can delay payment processing.
2. Use the Correct Payment Method
There are three ways NDIS funds are managed, and each has a different invoicing process:
NDIA-managed: Invoices must be submitted via the NDIS MyPlace portal
Plan-managed: Invoices are sent to the participant’s plan manager
Self-managed: Invoices go directly to the participant
Using the right method helps avoid confusion or delays.
3. Send Invoices on Time
To avoid delays:
Submit invoices as soon as the service is delivered
Set a regular invoicing routine
Follow up on unpaid invoices after 7–14 days
4. Keep Records and Track Payments
Staying organised helps prevent missed payments or double-ups. A simple system can be used to:
Record invoices sent and payments received
Monitor payment timelines
Set reminders for outstanding invoices
5. Avoid Common Errors
Some of the most common issues that lead to delays include:
Incorrect participant details
Wrong support item codes
Miscalculations
Vague or unclear service descriptions
Missing bank information
Double-checking invoices before submission can save time and stress.
Stay on top of your invoicing and improve your cash flow today!
